Editorial assistant @ D.C. magazine

The Center for Association Leadership, a non-profit organization in Washington, D.C., seeks an editorial assistant to assist with its flagship monthly magazine, supplements, directories, exhibitors’ guides, electronic newsletters, and related products. Job pays $33,000.00-$37,000.00 annually.

Specific Responsibilities Include:
* Maintains systems for the following: logging, tracking, and acknowledging all manuscripts received; tracking various editorial data, such as number of manuscripts received and number of editorial pages per issue; generating and ensuring the timely completion and return of authors’ copyright agreements; securing, tracking, and storing supplied photographs; and providing authors, photographers, and artists with complimentary magazines and/or tearsheets.
* Prepares and edits magazine departments such as “Smart Moves,” “Comments,” and “CEO to CEO.”
* Writes brief department and feature items.
* Maintains editorial files, including article backup files. Maintains computer file of form letters, including thank-you notes, copyright releases, contracts, and so forth. Creates new form letters as needed.
* Proofreads articles in manuscript and laid-out form. Writes pull quotes and captions and makes edits required to fit copy into layouts. Proofreads marketing materials as needed.
* Participates in editorial brainstorming meetings to help plan future editorial content of magazine.
* Assists in posting magazine and newsletter articles to web using content management system. Assists with posting video content to the web. Assists with administration of association’s blog and wiki.
* Fact-checks articles.
* Maintains departmental budget records, including purchase orders and vouchers.
* Stores magazines by issue and arranges for production of annual bound volumes of the magazine.
* Responds to requests to reuse magazine articles.
* Performs administrative duties, including but not limited to preparing correspondence, serving as departmental contact and responding to routine inquiries made by telephone or in writing, arranging meetings and focus groups, sorting mail, tracking down and returning photographs and other art, photocopying, and faxing.
* Coordinates editorial side of magazine production process to ensure accuracy.
* Pulls contact lists from member database.
* Coordinates and submits award entries.
* Performs other related functions as required by the business.

Position Requirements:
* College degree in journalism, communication, or related field preferred.
* Entry-level writing and editing skills.
* Excellent proofreading skills.
* Ability to balance multiple priorities, work independently and as part of a team, keep others informed through clear written and oral communication, and maintain high level of productivity.
* Excellent computer skills and knowledge (ability to use Word and Excel and database required, HTML skills a plus), including the knack for using technology to create record-keeping systems and to streamline operations.
* Ability to use the Internet for basic research.
* Good grasp of grammar, spelling, and punctuation, and ability to quickly learn ASAE style points.
* Ability to coordinate details with a variety of people, juggle multiple projects, and work in a team.
* Must possess superior attention to detail, organizational skills, and enough flexibility and creativity to help make mid-stream adjustments to achieve the end goal of high-quality and on-time products.
